3. Write a specification that can be bought, received, and installed
A useful specification begins with performance and compatibility, then records appearance. “White window” is not enough. Separate quantity overage from money contingency. Flooring may need a documented physical waste allowance for cuts and pattern, while the budget holds a separate dollar reserve for unknown cost. Combining both into an unexplained 15 percent makes it difficult to tell whether the order quantity or the project risk reserve is doing the work.
4. Calculate need-by and order-by dates from the jobsite backward
A supplier's lead time is only one interval. The project also needs time for field verification, design or permit approval, quote review, deposit, production, shipping, appointment scheduling, receiving inspection, replacement of damaged goods, acclimation, and staging. Ask what starts the supplier clock and whether the quoted duration is an estimate or a committed date.
Use this planning calculation:
Order-by date = need-by date minus approval time minus supplier lead time minus receiving and preparation time minus schedule buffer.

Before money moves, verify who is selling the product, who is accepting the order, and who is responsible for fulfillment, damage, returns, and warranty service. Plan receiving as a scheduled task, not an interruption. Confirm the truck size, access, parking, unloading method, responsible receiver, weather, secure staging area, required equipment, and whether inspection must happen while the carrier is present. Keep workers and visitors away from the unloading zone.

8. Store and protect materials without creating a new jobsite hazard
Delivery does not equal readiness. Materials may need dry, secure, temperature-controlled, elevated, flat, upright, segregated, ventilated, or acclimated storage according to the product instructions and qualified installer. Record the location and condition so the project does not lose products inside its own rooms.
OSHA's construction storage rule requires tiered materials to be secured against sliding, falling, or collapse; safe floor-load limits; clear aisles; segregation of incompatible materials; stable lumber stacking; and storage areas kept free from tripping, fire, explosion, and pest hazards. A cheaper unit can cost more after adapters, trim changes, labor, permit review, repainting, restocking, or delay. Compare total installed cost and schedule effect, not shelf price alone.
