Use the workspace calendar

See closings, inspections, schedule items, and dated tasks for every project on one calendar.

Who it is for

Use the workspace calendar when the week is spread across more than one property. Owners look for closings. Construction leads look for inspections and task due dates. Calendar in the left sidebar starts with Today, This week, and Coming, then the full calendar. You only see projects you can already open.

Before you start

  • A few projects exist. Events can also be workspace-wide and have no project.
  • Dated tasks and project schedule items show up here without retyping them. Add those in add project tasks and add a date on the project calendar.
  • You are signed in. Archived projects are left out of the summary lists.

Steps

  1. Open Calendar

Click Calendar. The heading is Calendar and the line under it is "Closings, inspections, events." Three panels follow: Today, This week, and Coming. Each card shows a title and a date. Empty copy is "Nothing scheduled today.", "No items this week.", or "Nothing further out."

  2. Change the view

Under those panels, the calendar toolbar shows the month, week, or day title. Click Previous, Today, and Next. The view buttons are Month, Week, Day, and List. Month shows a Sunday-through-Saturday grid. A day with more than four items shows "+{n} more". Week lists each day and says "No items" when a day is empty. Day says "No calendar items" and "Add an event or select another day." List is a table of Date, Item, Project, Category, and Assigned for the visible month, or "No items this month."

    The workspace calendar views.
  3. Filter the side list

The filters are Projects, Categories, and Team. Projects includes Workspace-wide plus each project, with a color swatch. Categories are Events, Schedule Items, and Tasks. Team lists member names and Unassigned. Each group has Deselect All or Select All. Uncheck a project to hide its items. You can change a project color from the swatch. The notice is "Project color updated".

  4. Add an event

The editor eyebrow is "New calendar item" and the heading is Add event. Type Event title. Choose a project or Workspace-wide. Set the start and end dates. Category is Event or Schedule item. Assign a member or leave Unassigned. Pick a color and a Description. Click Add event. The notice is "Calendar event added". Click an existing event chip to edit it. Save changes shows "Calendar event updated". Delete event shows "Calendar event deleted". New event clears the form.

    Add an event.

What the fields mean

The calendar mixes three kinds of items. Events and schedule items are calendar records. Tasks are project tasks that have a start date or a due date. A task chip links to the project. It is not edited in the event form. Change the task on the project. See build the project schedule.

Workspace-wide events have no project. They still appear when the Workspace-wide checkbox is on. The share bar above the grid says "Export or connect this workspace calendar" until a feed exists, then "Share feed active". The detail line is "Includes events, project schedule items, and dated tasks. Feed URLs are shown once on create/renew." See subscribe to the calendar feed.

Tips and troubleshooting

  • A task is missing. It has no due date and no schedule start date. Add a due date on the task, or a start and end on the scheduler.
  • An archived project's dates are hidden from the Today, This week, and Coming panels.
  • "That property was not found." The event pointed at a deleted project. Edit the event and choose another project or Workspace-wide.
  • "You are not assigned to that property. Ask a workspace admin to add you to the project team."
  • "Your access on this property is limited. Ask a project owner for full features (underwriting, estimates, funding)."
  • "The database is temporarily unavailable. Please try again in a moment."
  • "Too many requests. Wait a moment and try again."
  • "Your sign-in has expired. Please sign in again."

What to do next

Add a property-specific inspection in add a date on the project calendar. Put the same dates on your phone with subscribe to the calendar feed. See every open task, not only the dated ones, in see tasks across every project.
